Admin Guide

Runs the madrasah day to day — classes, users, attendance, billing, and every module.

Signing in

Every account signs in with a username, not an email address.

  • Sign in at /login with your username and password (not your email — usernames are unique, emails may not be).
  • Forgot your username? Use "Forgot username?" on the login page — it emails every username linked to that address.
  • Forgot your password? Use "Forgot password?" to get a reset link by username.
  • Change your own username any time from Profile → Edit username.
  • New self-registrations sit as PENDING until you approve them from Admin → Pending Approvals.

Dashboard

Your home page after signing in, with cards tailored to your role.

  • Quick links to pending approvals, today's attendance, and recent activity across the school.

Attendance

Daily attendance, marked per class session.

  • Attendance → pick a class → mark each student Present / Absent / Late for today.
  • Attendance → History for a date-range view with CSV export.
  • Attendance → Students for a searchable all-students roster you can mark from directly.
  • Absent or late marks automatically notify the student's guardians.

Calendar

Class-specific events and school-wide events, with an approval workflow for general events.

  • Calendar → New event to add a class event or a school-wide (general) event directly — general events you create are auto-approved.
  • Review and approve/reject general events requested by teachers or staff.
  • Subscribe to a class or the whole-school calendar from any device using the iCal feed link on the page.

Messages & Announcements

Direct messages between users, plus school-wide announcements.

  • Messages → New message to start a direct conversation — search for a recipient by name.
  • Admin → Announcements to send a message to the whole school (or a filtered group).
  • Reply from any thread under Messages.

Notifications

In-app notifications for things that need your attention.

  • The bell icon shows your unread count; open Notifications for the full history.
  • You'll be notified of new sign-ups awaiting approval and ITS number change requests.
  • Optionally enable browser push notifications from Profile, so you're alerted even when the app isn't open.

Classes

A public listing of the school's classes.

  • Classes for a read view; manage classes, teachers, and enrollment from Admin → Classes.

Your profile

Your own account settings.

  • Profile → edit your name, photo, and username.
  • Request an ITS number change if yours is wrong — admins approve these.
  • Opt in to browser push notifications for new sign-ups and requests.

Admin tools

User management, class management, approvals, and the audit log.

  • Admin → Pending Approvals to approve or reject new registrations.
  • Admin → Classes to create classes, assign teachers, and enroll students.
  • Users → open any user to change their role(s) or account status.
  • Admin → Announcements to message the whole school.
  • Admin → Audit Log to review administrative actions; searchable, with a purge option.
  • Approve or reject ITS number change requests submitted from users' profiles.

Library

Book catalogue with barcode-based checkout and return.

  • Library → search the catalogue, check a book in or out by scanning/entering its barcode.
  • Export the loan log as CSV, or purge old loan records.

Billing

Fee records and payment status, per student.

  • Billing → add a fee record for a student, mark records paid, and review each student's billing history.

Book issuance

Grade-level textbook catalogue — separate from the general Library.

  • Issuance → manage the grade book catalogue and issue/return books to individual students.

Digital resources

Shared links, files, and photos — class-scoped or school-wide.

  • Resources → browse and add links, files, or photos, scoped to a class or the whole school.

Homework / Assignments

Assignments, submissions, and status tracking.

  • Homework → create an assignment for a class, delete one, and see who has submitted.

Hifz tracker

Not enabled on this deployment

Qur'an memorisation records, tracked surah by surah, ayah range by ayah range.

  • Hifz → view and record memorisation assessments for any class.

Exams

Not enabled on this deployment

Class exam scheduling, upcoming and past.

  • Exams → schedule an exam for any class; view upcoming and past exams for every class.

Parent-teacher meetings

Not enabled on this deployment

Bookable meeting slots between teachers and parents.

  • PTM → view all slots and bookings; cancel a booking if needed.

Access is enforced by your account’s role, so you’ll only ever see the parts of the system described above — not everything documented site-wide.
